Objectives

Throughout your career, you will likely be in a position that will require you to make proposals. Some proposals may be informal, such as a proposal to your boss requesting an alternative work schedule or a proposal to your colleague suggesting a change to a project. Other proposals may be more formal, such as a proposal to a client soliciting their business or a proposal to a government agency requesting approval or permission.
This first part of Project 3 is an opportunity for you to practice writing proposals.

Assignment

Write a formal internal proposal in memo format that proposes the topic for your Project 3b presentation.

Your proposal will include the following components as discussed in class. Assign each group member one of the below four sections.

Introduction & Conclusion (minimum 500 words, 250 words each)

Your introduction should identify a writing problem for me as the instructor and for your classmates as new business writers and provide a brief overview of your proposed solution (e.g. giving your presentation with specific information).

Your conclusion should restate the problem, solution, and benefits. The conclusion should also show a “spirit of cooperation.”

Problem & Significance (minimum 500 words)

Discuss a problem for me as the instructor and for your classmates as new business writers. Your discussion of the problem and its significance should be developed with specific details and examples. This section should also contain research that supports your claims about the problem and significance.

Solution & Presentation Content (minimum 500 words)

Your discussion of the solution and presentation content should be developed with specific details and examples. You do not need to give me your entire presentation, but I should have a clear idea of the structure and content. Remember that this section should show a clear connection with how you have described the problem in your previous section.

Benefits for Audience (minimum 500 words)

Your discussion of benefits should be developed with specific details and examples. Again, this section should explicitly connect to your previous sections.

Audience & Purpose

Your audience for this proposal is me, your instructor (think of me as a boss). Your purpose is to convince me that you have thought carefully about the rhetorical situation of your presentation and have planned accordingly. Your purpose is also to demonstrate your proficiency in writing memos and proposals.

Grading Rubric

A=Excellent, noteworthy work: the writer does most of the below throughout all of the text
B=Strong work: the writer does the most of the below consistently throughout many parts of the text
C=Adequate, passing work: the writer does some of the below in some parts of the text
D/F=Inadequate work: the writer fails to do most of the below in most of the text

A student writer will demonstrate the ability to do the following in the text:

1. ADDRESSING THE ASSIGNMENT

a. follow all directions for content and formatting,
b. show careful studying and following of the advice given in the assigned reading regarding proposal and memo writing and all components,
c. collaborate successfully by creating a cohesive document that appears written by one person.

2. RHETORICAL AWARENESS

a. understand the primary rhetorical situation of the proposal,
b. make deliberate and effective choices for individual proposal components, such as the subject line, introduction, and conclusion, based on the rhetorical situation.

3. FOCUS & SUPPORT

a. focus on a topic appropriate for the presentation audience,
b. perform careful and meaningful research,
c. include all required content indicated on assignment sheet,
d. include specifics relevant for the audience,
e. move beyond description to defend the proposed topic and presentation,
f. address significance and benefits to the audience.

4. ORGANIZATION & CONNECTIONS

a. write paragraphs with clear focuses and purposes,
b. write paragraphs of an effective length for business correspondence,
c. make main ideas clear at the beginning and ending of paragraphs and section,
d. make connections between sentences, paragraphs, and sections.

5. GENRE & FORMAT

a. format and design document according to the purpose and conventions of a formal proposal and memo,
b. apply all components of memo writing, including format, introduction, and conclusion, successfully.

6. USE OF SOURCES

a. use source types appropriate for the rhetorical situation,
b. use sources in a deliberate and effective way for the purpose,
c. describe and analyze source material thoroughly and explicitly,
d. cite all source material with consistent and correct parenthetical/in-text citation,
e. cite all source material with consistent and correct end citation.

7. STYLE & LANGUAGE

a. show careful editing and consistent control of Standard Written English,
b. use words appropriate to the rhetorical situation (e.g. terminology of the class, etc.),
c. maintain a formal writing style appropriate for a business report.
