Business Letter

Despite uncertain economic news, your employer, InPro Chicago has had an excellent year.  Your CEO, Jane Nystrom, would like to reward employees for their hard work with a rustic, yet deluxe winter retreat.  The CEO wants her company to host a four-day combination conference/retreat/vacation for her 45 marketing and media professionals and their spouses or guests at some spectacular winter resort. As the marketing manager, you will also look into winter resorts throughout the west including Utah, Montana, Wyoming, and Colorado.  You hadn’t thought about Canada until you read an article promoting Canadian ski resorts.

One of the choices is Whistler, British Columbia.  British Columbia appeals to you because of the favorable exchange rates of the Canadian dollar.  Whistler offers a variety of ski hills for everyone from beginners to experts.  The Peak2Peak Gondola, the longest and highest lift in the world, allows winter sports enthusiasts to ski both Blackcomb and Whistler Mountain in a single day.   There seems to be plenty to do for employees who bring their families.  The Whistler Olympic Village has dogsledding, snowshoeing, and other activities. As you search the internet and investigate the options in Whistler, you become interested in the Four Seasons Resort, a five-star facility with outdoor pool, spa, hot tub, a dedicated ski concierge, and an amply equipped gym and fitness room.  Other amenities included an on-site spa with massage and treatment rooms, a sauna, and facial and body treatments.

The website of the Four Seasons, Whistler is not very explicit on the subject of business and event facilities, so you decide to jot down a few key questions.  You estimate that your company will require about 50 rooms.  You will also need two conference rooms to accommodate 35 participants or more for one and a half days.  You want to know about room rates, conference facilities, A/V equipment in the conference rooms, and entertainment and skiing options for families.  You have two periods that would be possible:  January 17-21 or February 7-11, 2018.  You realize that both are at peak times, but you wonder whether you can get a discounted group rate.  You are interested in entertainment on site, in Whistler, and tours to the nearby sites.   One of your execs is particularly interested in helicopter trips and you wonder if the Whistler Four Seasons offers heli-skiing.  And getting there isn’t straightforward either.  Vancouver is about 90 minutes away.  Does the Four Seasons offer some sort of shuttle or recommendations for a group your size?  .  Also, one evening, the CEO will want to host a banquet for about 85 people.
