PAUSE & PRACTICE: EXCEL 7-3
In this project, you inspect a workbook, check it for accessibility, save it to OneDrive, and share it for editing in Excel for the web. Note: You must have access to a secondary email address or work with a classmate or co-worker to complete this project.
File Needed: [your initials] PP E7-2Workbook.xlsx
Completed Project File Names: [your initials] PP E7-3.xlsx and [your initials] PP E7-3Shared.xlsx
- Open the [your initials] PP E7-2Workbook workbook completed in Pause & Practice 7-2 and save it as [your initials] PP E7-3 in your usual folder for saving work.
- Remove sheet protection.
- Note that many commands on the Ribbon are grayed out. The Reservations sheet in your template was protected.
- Click the Info command on the File tab (Figure 7-60).
- Click Unprotect in the Protect Workbook group.
- Return to the workbook.
- Check accessibility.
- Click the Check Accessibility button [Review tab, Accessibility group]. Objects without alternative text are identified in the Accessibility pane. The workbook does not include merged cells.
- Expand the Missing alternative text group.
- Click Logo (Reservations) in the Accessibility pane. The image in column A is selected.
- Click the drop-down list for Logo (Reservations) and choose Mark as decorative (Figure 7-61).
- Click Drop Down N (Reservations) in the Accessibility pane. The combo box is selected.
- Click the drop-down list for Drop Down N (Reservations) and choose Add a description.
- Click the entry box in the Alt Text pane and type This is a drop-down list with the names of properties. as the text.
- Close the Alt Text pane and then close the Accessibility pane.
- Select cell A17.
- Inspect the workbook for issues.
- Click the Check for Issues button [File tab, Info group] and choose Inspect Document.
- Select Yes to save the workbook.
- Click Inspect. Properties and personal information that can be removed are noted.
- Scroll the list to locate the Headers and Footers category. You will not remove these elements.
- Scroll to the top of the list and click Remove All for Document Properties and Personal Information.
- Click Close. Note that the workbook now has a setting to remove personal information each time it is saved (Figure 7-62).
- Return to the workbook.
- Format data as a table.
- Click the PopUps sheet tab and select cell A4.
- Format the data as a table using White, Table Style Light 1.
- Select cell A3.
- Click the Save button in the title bar. This resaves the [your initials] PP E7-3 workbook.
- Save the workbook to OneDrive.
- Click the File tab and select Save As.
- Click OneDrive – [Identifier] and then click Documents or your preferred cloud folder in the list.
- Edit the file name to display [your initials] PP E7-3Shared in the entry box.
- Click Save. The [your initials] PP E7-3 workbook is preserved in your local folder.
- Verify in the title bar that AutoSave is on.
- Share the workbook.
- Click the Share button in the upper-right corner of the workbook window.
- Click the To: area and type your secondary email address. If you are working with a classmate or co-worker, type that email address.
- Click Message: and type Make a choice about pets. including the period.
- Click Send and close the confirmation window.
- Open a shared workbook.
- Launch your email program and sign in to your secondary email account.
- Open the email message about the shared workbook and click the link. If you are working with another individual, ask them to open the email message.
- Click the Viewing button on the Ribbon and choose Editing.
- Click the Reservations sheet tab. Note that form controls are unavailable in Excel for the web.
- Create a sheet view. You should be working in Excel for the web for this step.
- Select the PopUps sheet tab and select cell A5.
- Click the New Sheet View button [View tab, Sheet View group]. Your view is named Temporary View.
- Filter the data to display records for Illinois, Indiana, and Kentucky.
- Click the Keep Sheet View button [View tab, Sheet View group]. Your view is named View1.
- Click the Sheet View Options button [View tab, Sheet View group].
- Rename your view as ThreeStates.
- Enter data in the shared workbook.
- Select cell F7, which should be the first property for Indiana.
- Choose No for the entry.
- Choose Yes for the remaining Indiana properties (Figure 7-63).
- Enter a comment in the shared workbook.
- Select cell H1.
- Click the New Comment button [Review tab, Comments group].
- Type I filtered the table. in the comment box and click the Post button.
- Select cell A1.
- Close the Excel for the web window.
- Close your secondary email message and the email client.
- Review work in the shared workbook.
- Return to your [your initials] PP E7-3Shared workbook in Excel.
- Select the PopUps sheet tab.
- Hover the pointer at cell H1 to read the comment (Figure 7-64).
- Click the Switch Sheet View drop-down list [View tab, Sheet View group] and choose Default.
- Click the File tab and choose Save a Copy. Navigate to your local folder and save the workbook using the same name [your initials] PP E7-3Shared.
- Close the workbook. It is saved by AutoSave in your OneDrive folder.
